    We have a customer that is having issues receiving their "seeds". We did a seed test, and sent them out first class, and of course, they received those. So now the customer is wanting to know if we can leave the seeds in the mailing, mail them at the same class of mail as the rest of the mailing (nonprofit), and yet track just the seeds. I'm under the impression that we can track them, but we'd have to track the entire mailing, not just specific records. Am I correct? Or is there another alternative that I'm not considering?

    Most tracking companies can help you track specific addresses within a file.  However depending on the quantity of the mailing by the time you factor in the extra steps in tracking just specific records in the file, minimum costs you may find it easier and cheaper to track the whole mailing. Additionally i have had incidents where the seeds are in one state -say Utah, while the mailing itself was mostly around the Nashville area. The delivery the seeds received were not representative of the delivery the rest of the mailing received.  So by tracking the entire mailing you get a much better picture. I would suggest you talk to tracking companies to find your best options.  If you want to email me at scolella@...     We're tracking 10% of a mailing that we're processing right now.  We LOVE and use www.snailworks.com (an Epicomm member from back in the MASA days).  It's super easy.  It's super intuitive for you and your client.  I would be happy to tell you our experience doing this as well.  Oh yeah, you can pay by the job (which we've been doing) or get, kind of a subscription so it's even easier.

    Another very cost effective tool is BCC Track and Trace. As a full service mailer you can get some tracking for free... but BCC has made it so simple it is worth the few dollars it costs.

    Any time we onboard a new customer we add the feature as a standard service. Again for the cost it saves many a headache trying to explain where the mail is...

    We currently use BCC Track N Trace whenever a customer requests tracking.  But we use it so infrequently I was thinking that we had to do all or none.  If we can isolate the specific records and only track those, then that's what they would prefer, but I've never done that before.

    Thanks Glen - we are currently BCC TNT subscribers, but I just called, and the options are either:

    1) the entire mailing

    2) the first piece of a tray

    3) the last piece of a tray

    So I can't target specific records.

    Here's a thought for you. If all the seeds go in the same tray, or if you can determine what trays the seed names are in, you can track the track using the Informed Visability report in the Gateway.  You might be able to get the piece details, but at least you'll know where the tray went.  To get there open the Gateway, choose Mailing Reports, then the visability report is half way down on the screen.

    I really like the discussion here.  Mail tracking and reporting is fundamentally important for any mail operation.  If your client is taking the time to build a "seed reporting program" they are interested in mail tracking.  Take that interest as your opportunity to have an open discussion of the benefits of tracking all of the mail for them.

    I am sure they are unaware of how cost effective it is and how much better it has gotten.  The other benefits they will get (Proactive and actionable information on their mail as it travels to delivery, USPS performance measurement by facility for their mail, visibility of issues as they occur when they can be impacted to preserve mail delivery targets (in-home dates), better relationships and engagement from/with the USPS when they can provide USPS data for research and resolution, etc.) add even greater value for them.  Finally, you create a stronger bond with them.  They want to work with you because you provide them information that is valuable before the mail is "late" and other scheduled activities are affected/disrupted.

    You are smart to be looking at this now and should move your client away form their outdated seed model before someone else does so.

    We've used Accutrace (Accuzip service) to track individual pieces many times. You can look up the IMBDigits directly in the portal and see the last place that piece was scanned.

    we are using the track and trace service through Accuzip. We started using just to satisfy one customer. The feedback and level of detail you get is fantastic. We now use it on more than 80% of all the mailings that go out. The feature is set up so my customers are in control of the tracking and can check it as often as they like. The big bonus is a charge a fee to add it to the mailings. The fee has become not only selling feature and a way for my customers to track missing mail but a revenue source.
